From Spreadsheets to Salesforce: Organizing 500+ Client Records for a NJ Wills & Estates Firm in One Week

How a 3-attorney New Jersey wills, trusts & estates law firm replaced scattered spreadsheets with a custom Salesforce environment in one week — 500+ contacts cleaned, migrated, and tied to a Matter object built for estate-planning workflows.

The Client

A small but growing wills, trusts & estates law firm based in New Jersey. The firm handles sensitive legal matters for families navigating estate planning, probate, and trust administration — work that demands precision, organization, and reliable access to client information at every stage of a matter.

The Challenge

Like many small law firms, this practice had built its operations around spreadsheets and manual record-keeping. It worked — until it didn't.

As the firm's client base grew, the cracks started to show. Client contacts lived in one place. Matter details lived somewhere else. There was no easy way to see the status of an active matter, track where a client was in the process, or pull up a complete picture of a client relationship without digging through multiple files.

For a firm handling wills, trusts, and probate — where missing a detail or losing track of a document can have real consequences for a family — this wasn't just an operational problem. It was a risk.

The firm needed a centralized system. Something built for how they actually work, not a generic tool that required them to change their process to fit the software.

The CrestOps Approach

CrestOps came in with one goal: build a clean, organized Salesforce environment the firm could actually use — without a technical team, without a long implementation, and without unnecessary complexity.

Step 1 — Understanding the workflow

Before touching Salesforce, we mapped the firm's existing process. How does a new client come in? What information does the firm track for each matter? What does the attorney need to see at a glance? This discovery process is what separates a system that gets used from one that gets abandoned.

Step 2 — Building the custom Matter object

Out of the box, Salesforce isn't built for law firms. So we built a custom Matter object tailored specifically to estate-planning workflows. This gave the firm a structured way to track every active matter — including the type of matter (will, trust, probate, power of attorney), matter status, key dates, associated contacts, and document milestones — all in one place, connected directly to the client record.

Step 3 — Migrating 500+ client contacts

Moving data is never just moving data. The firm's existing contact records were spread across spreadsheets with inconsistent formatting, duplicate entries, and missing fields. We cleaned, structured, and migrated 500+ client contacts into Salesforce — making sure every record was accurate, complete, and properly linked to the right matters before a single record went live.

Step 4 — Delivery and handoff

Within one week, the firm had a fully functional Salesforce environment. We walked the team through the system, made sure they were comfortable navigating it, and ensured they could operate it independently without relying on outside technical support.

The Result

In one week, the firm went from scattered manual records to a centralized Salesforce system with 500+ client contacts organized, cleaned, and accessible. Attorneys can now see a complete picture of every client relationship and every active matter from a single screen.

The firm no longer relies on spreadsheets to track client status or matter progress. Everything lives in one place, and the system is built to scale as the firm grows — without requiring new hires or technical staff to maintain it.
